Rebuilding a more resilient DAM program

An enterprise SaaS company focusing on work management software faced challenges with multiple digital asset management systems and workflows that encouraged duplication. They called us in to streamline and turn their DAM program around.

In two months, we led a DAM transformation project aimed to address a series of operational challenges while also setting up the team for continued growth and maturation of their DAM. Here’s a selection of what we did:

  • A comprehensive listening tour and maturity assessment to understand current state, including surveys and interviews with ~25 key stakeholders

  • A product evaluation and recommendation to consolidate from 2 DAM systems to 1

  • A slate of documented resources for using and managing the DAM system we selected, including a robust operational and collections policy based on their specfic environment and use cases

  • A governance framework to ensure the multiple groups who contribute to the DAM system can work together to manage ongoing change

  • A metadata and taxonomy overhaul, including a broad cleanup of ~22000 assets to improve findability

  • A refresh of their DAM system’s look and feel, including navigational elements

  • Training and enablement workshops as well as a library of on-demand video walkthroughs on core features and functionalities of their DAM

  • A content migration of priority assets with a framework for continued migration efforts

  • A roadmap for continued DAM growth and program work for the team to follow going into the new year

Throughout this project, we had to balance rebuilding aspects of existing workstreams where DAM was already present, from content delivery, integrations with broader marketing content management, customer-facing experiences like a help center, and of course, several teams who relied on the DAM to browse and use content according to their role.

Project progress and each artifact were neatly captured within the organization’s project management tool, enhancing visibility and excitement amongst the team week to week.

As this organization eyes a wider deployment of their DAM in the coming year, the work accomplished here has not only turned around their DAM program, it’s inspired better content management habits and a commitment to tighter operational practices amongst the DAM’s contributors.
